The U.S. District Court for the District of Minnesota is seeking a Courtroom Deputy for Chief
District Judge Patrick J. Schiltz, in Minneapolis, Minnesota. The Courtroom Deputy manages the
Chief Judge’s caseload and provides courtroom and other assistance by scheduling trials,
hearings, and other activities, attending court proceedings, handling the juries, drafting and
entering orders and judgments, and compiling minutes and statistical reports. This job requires
a high level of knowledge of court and courtroom operations. The person selected for the
position must be a professional with excellent organizational and interpersonal skills, and a
close attention to detail. The typical work schedule for this position is Monday through Friday,
8:00 a.m. until 5:00 p.m. (On infrequent occasions, additional hours may be required, such as
when a jury deliberates into the evening.)

REPRESENTATIVE DUTIES

  • Schedules all trials, hearings, and other case-related activities. Works closely with the
    lawyers and with court personnel to make sure that cases proceed quickly and efficiently.
    Serves as the “gateway” through which every case-related phone call, letter, pleading,
    motion, and other paper passes. Decides what needs the Chief Judge’s attention, what
    needs the attention of a law clerk, and what can wait. Schedules interpreters as needed.
  • Accompanies the Chief Judge in court when required. Sets up the courtroom in the
  • morning and closes it up at night. Administers oaths, takes care of the jury, handles the
  • exhibits, and works with the lawyers and witnesses to make sure that trials and court
  • hearings proceed smoothly. Takes notes of proceedings, rulings, and notices, and
  • prepares minute entries electronically.
  • Drafts and enters routine orders and judgments, such as orders dismissing cases that have
    been settled and orders referring matters to magistrate judges.
  • Records minutes and compiles statistical reports, such as reports on the Chief Judge’s
    caseload and on the time that the Chief Judge spends in court.
  • Maintains the Chief Judge’s in-court calendar. Shares responsibility for maintaining the
    Chief Judge’s out-of-court calendar with his Judicial Assistant, who handles most
    scheduling of meetings, conferences, interviews, attorney admissions, and
    naturalization ceremonies.
  • Other duties as assigned.

MINIMUM QUALIFICATIONS

  • Bachelor’s degree; and
  • Two years of clerical or administrative experience requiring the ability to apply a body of
    rules, regulations, directives, or laws and involving the routine use of specialized
    terminology and automated software for word processing, data entry, or report
    generation.
    PREFERRED QUALIFICATIONS
  • Applications from those with a JD degree encouraged.
  • The candidate must have an understanding of the litigation process, good judgment,
    excellent communication skills (including strong writing ability), and knowledge of or a
    willingness to learn the policies and procedures of the court, including how other
    processes in the Clerk’s Office relate to his or her position. The candidate must also be
    well organized and extremely careful and accurate in his or her work.
  • Prior court or legal experience (such as service as a law clerk to a judge or in a court
    administrator’s office) is highly desired.
  • Excellent computer and typing skills, including skills in word processing (MS Word and
    Excel); proficiency with email, web browsers, and databases; and experience scanning
    and uploading documents.
  • Experience coordinating and prioritizing the flow of work in a team-based environment.
